Summary Description:
Provides executive-level administrative support to the Vice President /Dean of Students (VP) and the Division of Student Life; serves as a liaison between the VP and other administrative offices, campus administrators, college community, and colleges and conference offices. Leads and organizes activities as directed by the VP and provides leadership support to manage Student Life projects; makes sound and independent judgments concerning the VP’s calendar (appointments, events, and activities); and helps maintain the operating efficiency and integrity of the Student Life Office. Provides dedicated support to the various departments within Student Life.
Anticipated Salary Range: $22.00 to $27.46 per hour
Responsibilities:
• Work collaboratively with, and be a resource for, the senior leadership team; provide staff clarification on broader Student Life strategies, initiatives plans and appropriate objectives for projects.
• Monitor and track operational and discretionary budget accounts and preliminary project plans; provide the VP with monthly updates on budget progress or irregularities through regular analysis and assessment of budget use; reconcile the VP’s p-card transactions.
• Maintain the Office of Student Life website and develop marketing materials.
• Assist with research, creation, and refinement of correspondence, agendas, presentations, and summaries of programs and activities for Student Life.
• Demonstrate a high level of integrity and discretion in handling confidential information.
• Provide support to committees, chair ad hoc committees, and convene special committees as needed.
• Develop and manage new Student Life employee onboarding program.
• Contribute to special projects and initiatives as directed by the VP, offering research, data gathering, and insightful reporting to drive decision-making.
• Manage the VP’s calendar, strategically scheduling appointments and coordinating both internal and external meetings.
• Strategically plan, coordinate, and execute meetings, conferences, and special events, championing the Vice President’s vision.
• Develop comprehensive meeting agendas, compile relevant materials, capture meeting minutes, and ensure follow-through on action items.
• Foster and cultivate positive relationships with faculty, staff, students, parents, donors, and community members.
• Planning and coordinating large special events for the student life division, special events, and dinners for the VP, collaborating with other offices and departments as necessary.
• Oversee complex travel arrangements, accommodations, and meticulous expense reporting for the VP and other staff members as needed.
• Compile, distribute, and monitor data pertaining to student enrollment status, including processing leave and withdrawal forms, maintaining databases, and creating reports.
• Serve as liaison between the Student Accounts Office and the Student Accounts Policy Committee, monitoring the CC email address for Campus Appeals (including Maxient appeals), submitting tuition petitions to the committee, and creating and sending correspondence regarding the outcome of appeals. Submit any other petitions to the corresponding office as needed.
• Assist in greeting visitors and answering phones. Monitor the CC email address for the VP account, creating correspondence as needed and relating information to the VP or other involved parties.
Additional Responsibilities:
o Actively support the college’s plan to be an antiracist institution by understanding, engaging with, and promoting diversity, inclusion, and equity in the college community.
o Promote a culture of safety and environmental protection by working in a safe manner; immediately reporting unsafe
situations and accidents; following college procedures; and participating in appropriate safety training.
o Demonstrate environmental sustainability by using college resources wisely and supporting the college’s sustainability
initiatives and innovation.
o Perform other duties as assigned.
Required Qualifications:
Bachelor’s degree or equivalent work experience plus a minimum of three years related experience. Progressively responsible experience in managing administrative operations; project management skills, ability to make campus presentations; administrative, organizational, human relations, and technical skills; ability to problem-solve, and develop strong working relationships with people from different cultural backgrounds; advanced level of computer proficiency includes the use of Microsoft Office programs, Banner, and ability to learn other department specific databases and software.Additional requirements include ability to work independently, accurately, and with discretion and demonstrate a high level of resourcefulness, diplomacy, integrity, and professionalism in all aspects of responsibilities; must maintain the confidential nature of information and issues that arise in the course of the job; must be highly skilled in making decisions by seeking out best alternatives for complex issues; ability to work in a fast-paced environment with timelines and be able to navigate shifting priorities with ease; outstanding customer service skills and excellent written and verbal communication skills as well as a commitment to the mission of a liberal arts college.
Preferred Qualifications:
Master’s degree, Executive level assistant experience; higher education work experience working directly with students; and supervisory experience. Experience with Banner, Concur, and Canvas.
