Director of Events

Summary Description:
Provide strategic planning and goal setting for revenue generation by managing multiple, complex events which advance the overall strategic mission of the college. Establish and implement event logistics with multiple departments on campus and assist the Assistant Vice President, College Events (AVP) with any large-scale events and supports the events team in the absence of the AVP.
Anticipated Salary Range: $70,070 to $94,595 per year
Responsibilities:
Program and Business Development:
• Review and execute RFPs; screen prospective clients and work with clients to develop a budget for their events.
• Research and assess rates and fees to ensure they are competitive and aligned with peer institutions; review and establish market-driven room and board rates.
• Execute conference contracts and all associated details; coordinate support and services with key departments (i.e. maintenance, housekeeping/custodial services, AV, facilities services, campus safety, dining/catering services, and transportation); ensure strategic utilization of college resources, and provide excellent customer service and experience for clients and guests.
• Generate all invoices to clients and invoices for payment from clients to ensure accuracy, verify documentation, and resolve discrepancies and questions; track payments, and work closely with the AVP to report, collect, and record revenue.
• Directly supervise three full-time staff; determine necessity of, hire and supervise temporary staff to assist with conferences and other events as needed.
• Manage budget of approximately $500,000.
Event Planning:
• Develop and implement processes that streamline event planning and management, including determining the resources appropriate for events.
• Support, guide and facilitate clients’ needs and expectations.
• Survey participants and clients pre-and post-event to make their experience relevant and meaningful; continuously improve depth and breadth of services and amenities of contracted services.
Build Community/Resource Development:
• Develop and facilitate collaboration with campus partners for multiple on-campus and external events address issues and resolve complaints and scheduling conflicts, including issues raised by guests.
• Promote a campus environment and relationships with the community that reflects inclusion and respect for diversity and equitable practices.
• Serve as liaison to food service, housing, and custodial service providers concerning quality control standards of all campus events.
• Serve on the Emergency management committee and act as a liaison for the events department.
• Serve as a liaison with the Colorado Springs Convention and Visitors Bureau and attend monthly coordination meetings.
Additional Responsibilities:
o Actively support the college’s plan to be an antiracist institution by understanding, engaging with, and promoting diversity, inclusion, and equity in the college community.
o Promote a culture of safety and environmental protection by working in a safe manner; immediately reporting unsafe
situations and accidents; following college procedures; and participating in appropriate safety training.
o Demonstrate environmental sustainability by using college resources wisely and supporting the college’s sustainability
initiatives and innovation.
o Perform other duties as assigned.
Required Qualifications:
Bachelor’s degree plus a minimum of seven years of related and progressively responsible leadership experience in event planning or a related field. Results oriented with experience in budget planning and forecasting; strong business acumen, organizational and collaborative skills with keen judgement and attention to detail; excellent written communication skills; ability to establish and maintain positive working relationships with diverse populations and from different cultural backgrounds and to understand and apply antiracism terminology and best practices; knowledge of Microsoft Office suite of software; ability to work evenings and weekends as needed.
Preferred Qualifications:
Certified meeting planner certification; Experience working in event planning higher education.
